Privacy Policy

DotXI (we, us) provides software for football academies, coaches, guardians, athletes and professional scouts. This policy explains what data we process and why. It is written in plain language; it is not a substitute for tailored legal advice for your club.
Who we are

Data we process
Depending on your role we may process: account details (name, email, phone), club and squad membership, attendance and training records, subscription/fee status, evaluations and performance notes entered by staff, athlete profile media you upload, guardian link data for minors, and scout-facing visibility settings you (or a guardian/club) enable.
Why we process it
We process data to run the product you signed up for: roster and operations, coaching workflows, guardian updates, billing where enabled, and — only with appropriate consent — discovery in Scout Hub. We also keep security logs and prevent abuse.
Sharing
Data stays inside your club context unless you (or a lawful guardian/club admin) make an athlete visible to scouts, or you invite staff. We use infrastructure providers (hosting, auth, email, payments) as processors under contracts. We do not sell personal data.
Minors
Academies often manage under-18 athletes. Guardians and club staff control sensitive settings such as public scouting visibility. Where consent is required, DotXI is designed so staff cannot silently publish a minor without the configured consent flows.
Retention & rights
We keep data while your organisation or account needs the service, and for limited backup/security periods afterward. Subject to applicable law (including GDPR for EU users), you may request access, correction, deletion, restriction or portability. Mobile app users can delete their account in Settings → Delete account; you may also contact [email protected]. Club operational records may remain in anonymized form where the academy still needs them. You may also lodge a complaint with your local supervisory authority.
Security & changes
We use industry-standard controls (encrypted transport, access controls, least-privilege ops). No method is perfect — please use strong passwords and report suspected incidents promptly. We may update this policy; the date above will change when we do.
